Terms & Conditions
Updated: 20th Oct 2026
These Terms & Conditions ("Terms") apply to the services we provide. They are between Be Green AI LTD ("we", "us", "our") and the person or organisation booking our services ("you"). Be Green AI LTD is a private limited company registered in England & Wales, company number 16067901, with its registered office at 128 City Road, London, EC1V 2NX.
1. Our services
"Services" means the talks, workshops, AI policy and strategy support, training, and related advice and tools guidance that we provide. We will set out what is included in your quote or confirmation email.
2. Booking and acceptance
A date request or enquiry through our website is not a booking. A booking is made once we have confirmed the date and what is included, in writing. By booking, you agree to these Terms. If you do not agree, please do not book. A free introductory call carries no obligation on either side.
3. Fees and payment
- Pricing: Fees are those shown on our website at the time of booking, or in your quote. Reduced rates for charities and non-profits apply to registered charities and non-profit organisations, and we may ask you to confirm your status. In-person sessions are priced on your requirements and quoted separately, and may include travel costs.
- Invoicing: We will invoice you for the agreed fee, and payment is due within 7 days of the invoice date unless we agree otherwise in writing.
- Late payment: If payment is more than 30 days late, we may pause further work until the outstanding amount is paid.
- Extra work: Anything beyond what we agreed may be charged separately, and we will agree it with you first.
4. Changing or cancelling a session
If you need to change the date of a session, please tell us as early as you can and we will agree a new date wherever possible. If we have to cancel, for example because of illness, we will offer you a new date or a refund of anything you have paid for that session.
If you need to cancel a session, please tell us in writing as early as you can. If you cancel less than 7 days before the session, we may charge for preparation we have already done, such as tailoring the content for your organisation. We will tell you the amount and keep it fair.
5. Confidentiality
Each of us agrees to protect the other's confidential information, meaning information that is marked confidential or that would reasonably be considered so, and not to disclose it to anyone else. This applies for two years after our work together ends.
6. Intellectual property
- Our materials: We keep ownership of our slides, templates, methods and other materials. We give you permission to use them within your own organisation for the purpose they were provided. Please do not copy, resell or share them more widely without asking us, and please do not record sessions without our agreement.
- Your information: You keep ownership of everything you give us, and we will only use it to deliver the agreed services.
7. Advice and third-party tools
We give guidance on using AI responsibly and sustainably, based on our knowledge and experience. It is general guidance. It is not legal, financial or other regulated professional advice, and you remain responsible for your own decisions. We are not responsible for the AI tools or services of other companies, or for changes they make.
8. Our responsibility to you
We will provide the services with reasonable care and skill. We do not promise that any tool, website or service will work without interruption. Nothing in these Terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud. Subject to that, we are not liable for indirect or consequential losses. Our total liability for any claim is limited to the fees you paid us for the services involved in the previous six months.
9. Ending our work together
- By you: For ongoing work, you may end it by giving us 30 days' written notice.
- By us: We may end our work if you break these Terms, do not pay on time, or misuse our services.
- After it ends: Any fees already due become payable, and we will return or securely delete your information, unless we need to keep it by law.
10. Your information
How we handle personal information is set out in our Privacy Policy.
11. Governing law and disputes
These Terms are governed by the laws of England & Wales. If there is a disagreement, we will first try to resolve it through good-faith discussion. If we cannot, either of us may take it to the courts of England & Wales.
12. Changes to these Terms
We may update these Terms from time to time. The version in force when you book is the one that applies to that booking. If we make significant changes, we will let you know by email where we can.
