This policy explains how Be Green AI LTD ("we", "us", "our") looks after your personal information when you use this website, book a session with us or join our mailing list.

1. Who we are

Be Green AI LTD is a private limited company registered in England & Wales, company number 16067901. Our registered office is 128 City Road, London, EC1V 2NX. We are the controller of the personal information described in this policy. You can reach us at hi@begreenai.com.

2. What we collect, and why

• Enquiries and date requests. When you use a form on this site, we collect your email address and the details you give us, such as your name, organisation and message. We use this to reply and to arrange your talk or workshop. Our basis for this is taking steps at your request, and our legitimate interest in running our business.
• Mailing list. If you sign up for tips, guides and session dates, we collect your email address and first name. We only email you with your consent, and we ask you to confirm your sign-up. You can unsubscribe at any time using the link in every email.
• Events. If you come to one of our talks or workshops, we may receive your name and email address from the event's booking platform or organiser. We use them once, to thank you for coming and invite you to join our mailing list. If you don't join, we won't email you again. Our basis for this is our legitimate interest in following up with people who attended.
• Booking a call. If you book a call through Calendly, we receive the name, email address and any notes you provide.
• Clients. If we work together, we keep the contact details, billing details and records needed to deliver our services and to pay and invoice. We do not collect payment card details through this website.
• Website use. Our hosting provider records basic technical information, such as your IP address and browser type, to keep the site secure and working.
• Website statistics. We count visits to this site with our own simple statistics tool, not Google Analytics or any other outside service. It records which pages are viewed, how long they stay open on screen and how far down people scroll, which links and buttons are clicked, which website or campaign a visit came from, the country and town (worked out from the IP address), the type of device and browser, the screen size, how quickly pages load, and any errors. To tell visitors apart within a single day, it mixes the IP address and browser details with a random code that is replaced every day, and keeps only the scrambled result. It never stores your IP address, does not use cookies, and cannot recognise you on another day or tell us who you are. Our basis for this is our legitimate interest in understanding how the site is used, so we can improve it. You can switch it off for your browser in section 5.

3. Who we share it with

We use a small number of trusted providers to run our business. They only act on our instructions, except where noted:

• Resend sends our emails.
• Calendly runs our call booking.
• Google provides our email and the spreadsheet where website enquiries are recorded.
• Cloudflare hosts this website, helps protect it and stores our mailing list and website statistics.
• Luma runs our public online sessions. If you register there, Luma is responsible for the information you give it, under its own privacy policy.

We never sell your information. We may also share it where the law requires us to, for example with our accountants or regulators.

Some of these providers are based outside the UK. Where they are, we rely on safeguards recognised under UK data protection law.

4. How long we keep it

• Enquiries: for up to two years after we last spoke to you.
• Mailing list: until you unsubscribe. After that we keep only your email address, marked as unsubscribed, so that we never email you again by mistake.
• Event attendees who don't join the mailing list: for up to two years after the event.
• Client and invoicing records: for six years, as the law requires.
• Website statistics: records of individual visits for 13 months. After that we keep only daily totals, which say nothing about any one visitor.

5. Cookies and website statistics

We do not use advertising cookies. Our website statistics (see section 2) do not use cookies or store anything on your device. We don't count visits from browsers that send a "Do Not Track" or "Global Privacy Control" signal.

You can also stop us counting your visits from this browser. This saves one setting in your browser that tells our statistics tool to skip you. It sends nothing to us.

Don't count my visits

Some tools on this site, such as the Calendly booking widget, are run by those providers and may set their own cookies or similar technologies. Please see their policies for details. You can also control cookies in your browser settings.

6. Email marketing

With your consent, we send tips, guides and news about new sessions. You can withdraw your consent at any time by clicking "unsubscribe" in any email or by writing to us. Our emails may record whether they were opened and which links were clicked, so that we can improve them. You can stop opens being recorded by turning off images in your email app.

7. Keeping your information safe

We use reasonable technical and organisational measures to protect your information, including secure access and encrypted connections. If a breach puts your rights at risk, we will tell you and the Information Commissioner's Office as the law requires.

8. Your rights

You have the right to see the information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to ask for a copy in a portable format. Where we rely on your consent, you can withdraw it at any time. To use any of these rights, email hi@begreenai.com. We will reply within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put things right first.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated at the top. If we make significant changes, we will let you know by email where we can.
